Practice Management
Calmwaters uses Financial Cents to send you tasks and requests, to share documents, and to chat with you.
A seamless experience for you, using a magic link to log in and a clean, intuitive interface.
You will be added as a Client to our Financial Cents; you don’t need an account of your own.
Accounting
We are going to rock your Quickbooks Online, supporting both Canadian and US files.
Receipts
Accrual engagements; we use your Dext or Hubdoc account for collecting, publishing and managing your source documents and bank/credit card statements.
Cash-coding engagements: documents will be shared in Calmwaters’ Financial Cents.
Efficiency
We love using RightTool to work in our QBO files. You don’t need to engage with us in this app, but you should consider it for your files.
Bank Feeds
Refresh and reconnect them weekly by Monday morning.
We aim to work on our client files weekly - we will do great work if we have fresh feeds.
Invoicing
Post in QBO invoices and received payments on or about the 5th of the following month.
We will ensure that received payments are clearing Undeposited Funds and matching in the bank feeds.
Payroll
Upload CSVs to Financial Cents within a week of it being run. We want to get your posting done promptly.

Your internal Accounting Controls will be under control!
Consistent and compliant segregation of duties, well managed by engaging Calmwaters to clear the bank feeds, initiate multi-person vendor payout approvals, confirm client-received payments and deposits and reconcile the Bank/Credit Card/POS/Loan/Shareholder accounts.
If you want deeper bookkeeping, we love working on accrual-based files.
We engage for weekly and monthly bookeeping.
If you are managing everything well - except Undeposited Funds, clearing transactions from the bank feeds, and reconciling - we can engage for cash-coding bookkeeping. These engagements will include a review of AP, AR, P&L, and Balance Sheet reports before we ship you a notice that your books are closed for a period.
We engage for weekly and monthly bookeeping.

We will set up your vendors to email bills into a document management program and prepare your payables for your approval, review your system for improvements or simply take over what you already have in place.

We will help you clean up your processes and keep your Undeposited Funds from running amok.
We post invoices and collected payments in QBO.
We post payroll transactions from your payroll provider’s supplied CSVs.
We will ensure your QBO file is ready for your final reconciliation of tax accounts in QBO so that you can file and manage corporate or payroll taxes in a timely manner.
Canadian Files
We will ensure that GST/HST/PST is captured in Canadian files. And review the Balance Sheet against the sales tax module for you.
We know a thing or two about the QBO sales tax module.
